Fifth: what happens if this tool disappears tomorrow? If the answer is 'nothing changes,' you probably don't need it. If the answer is 'we'd lose a critical capability,' then you're building dependency, and you need to plan for that deliberately.
Assessing Team Readiness
Tool readiness and team readiness are different things. A team might be technically capable of using a new AI tool but operationally unprepared to integrate it into their workflow.
Check whether your team can support rollout by asking: who will review AI-generated output before it reaches clients? Who will maintain and update prompts as requirements change? Who handles edge cases where the AI produces incorrect or ambiguous results?
If these roles aren't assigned before purchase, they'll get assigned reactively — usually to whoever happens to be available. That leads to inconsistent quality and eroded trust in the tool.
Defining Success in Operational Language
Vague goals like 'improve efficiency' or 'leverage AI' aren't measurable. Define what success looks like in operational language that your team already uses.
Good examples: proposal turnaround drops from 4 days to 2 days. Client intake forms are pre-populated with 80% accuracy. Weekly status reports take 30 minutes instead of 2 hours. Monthly reporting variance drops from 5 rounds of revision to 2.
